Open Positions
Qualified individuals will have experience in general ledger, bank reconciliation, financial statement preparation, trust statement balancing and payroll tax filing. A 4-year degree in accounting and five years’ experience is preferred. CPA preferred, but not a must.

DUTIES AND RESPONSIBILITIES WILL INCLUDE:
- Complete bank reconciliations for the benefit, administration and general/depository accounts, and prepare journal entries.
- Balance month end trust (investment) statements detailing the sales and purchases, gains and losses, interest and dividends, of securities, then prepare journal entries. Record the sales, purchases and interest earned for any Certificates of Deposits and or other investment vehicles.
- Prepare call-in sheets to Payroll provider and record monthly activity in a journal summary for entry in accounting system. Process direct deposits if needed.
- Pay pension, healthcare, sub funds and payroll taxes. Prepare and file quarterly and year-end tax reports. Follow up on any discrepancies related to prior tax returns. Taxes are paid weekly, monthly or quarterly, which ever applies.
- Prepare and post monthly journal summaries, adjusting entries, and run financial reports. Review general ledger and reports prior to distribution to Plan Managers.
- Prepare year-end accruals, prepare annual financial statements with footnote information if required by fund auditor. Must be able to work well with fund auditors.
- Monitor bank balances on a daily basis. Maintain day sheets or run account balances electronically. Transfer necessary monies to the benefit, administrative bank accounts, trust accounts, investments in Certificates of Deposits or other investment vehicles. Deposit account transfers are made on a daily, weekly or monthly basis, as needed or required. Process manual deposits sent directly to bank from our office.
- Pay administrative bills through the accounting payables module. Prepare bills for ratification for trustee meetings.
- Review invoices for proper authorizations. Place stop payments, apply refunds, and void checks.
- Compile information for any miscellaneous financial reports requested by Plan Administrators, i.e., expense, allocation, or depreciation schedules. Follow up on any questionable or unusual issues in relation to bank or financial statements.

Summary
The Claims Coordinator will be responsible for medical, dental, and vision claims processing of claims submitted electronically or on hard copy. Each Coordinator will specialize in a Particular Client(s).

GENERAL DUTIES AND RESPONSIBILITIES including but not limited to:
- Review claims for benefit determination based on work queue, electronic or hard copy submissions.
- Make corrections when necessary to incorrect Participant or Provider data when authorized.
- Assist Member Service Representatives with difficult claim issues.
- Primary responsibilities will not include telephone or personal interaction with participants or providers unless; it is determined by a supervisor or manager that assistance is needed in this area.
Requirements:
- 2-3 Years of Claims Processing experience
- Coordinator must be able to determine benefits for multiple groups and process claims accurately according to the corresponding Plan Documents.
- Coordinator will be expected to process X number of claims (based on Plan complexity) and maintain an accuracy rate of 98% procedure and 99% financial.
- Ability to read, write and speak Spanish is preferred, but not required
- Medical terminology classes, knowledge of medical billing and codes ICD9 and CPT coding is a plus.

GENERAL DUTIES AND RESPONSIBILITIES including but not limited to:
- Responsible for data entry and monthly balancing of employer contributions and balancing to bank deposits.
- Balance work including comparing data entered with source documents.
- Prepare and verify the system for the Month End Process as scheduled.
- Review and prepare monthly Delinquency Lists.
- Distribute current status letters to Employers.
- Review Monthly Benefit Statements for Contribution accuracy.
- Review and approve the delivery of the monthly pre-bills to the contractors.
- For the paperless clients, verify all deposit images provided by bank are captured electronically
- Verify that all discrepancy notices are delivered to the Employer and timely referral for collections on any notices that remain unpaid.
- Verify that all LD notices are delivered to the Employer and timely referral for collection on any notices that remain unpaid.
- Enter Debit/Credit entries discovered during Payroll Audits.
- Billing of approved Payroll Audits and timely referral for collection any audit that remains unpaid.
- Documenting the system of all communications with the employer, or about the employers account.
- Entry of all incoming reciprocity monies for members working outside their home local and Verify that all conversion calculations made by the system are correct.
- Verify all outgoing reciprocity monies for workers who are members of other locals.
Requirements:
- Proficient with computers including keyboarding and 10-key (demonstrated ability to type quickly and accurately) and use of Microsoft Word, Outlook, and Excel.
- Analytical skills and Strong basic mathematical skills with background and knowledge of Excel
- Must have excellent decision-making, problem-solving, organizational skills and able to work in a “team” environment.
- Taft-Hartley experience is a plus

SUMMARY
Determines and maintains Participant/Dependent Health Care Eligibility. Assisting Participants with eligibility and Open Enrollments, communicating with Health Care providers, etc.

ESSENTIAL DUTIES AND RESPONSIBILITIES including but not limited to:
- Knowledge of Plan eligibility rules as outlined in the SPD for each Plan assigned.
- Review system for eligibility, reinstatement and termination of health care coverage.
- Carefully review Eligibility Calculation exception reports and process all follow-up tasks timely.
- Work with Contributions Department to ensure that reported work hours are properly recorded and computed.
- Review Monthly Benefit Statements for Eligibility accuracy.
- Verify that the deduction amounts are correct for retired members and survivors.
- Verify that all newly eligible members are provided enrollment packets and make sure that the enrollment process is completed.
- Requests and evaluates legal documents such as divorce decrees, marriage certificates, birth certificates, etc. to determine dependent eligibility according to Plan rules.
- Reviews monthly status reports and self-payment notices before mailed to members to ensure information is correct.
- Make sure that all self pays recorded in the system are properly allocated to the member record to assure that eligibility is updated daily,
- Determine qualifying events and notify member/dependent of COBRA rights.
- Identifies and reports to Programming Department system errors in work hour computations.
- Audits vendor reports and invoices on a monthly basis.
- Assists members and their dependents with all issues regarding eligibility for benefits. Explain eligibility rules to members.
- Send proper enrollment documents to members adding children or a spouse.
- Process and return dependent QMCSO to court, member and custodial parent.
REQUIREMENTS:
- Must have excellent communication skills
- Must have excellent decision-making, problem-solving, organizational skills and able to work in a “team” environment.
- 2-4 years of customer service experience
- 2-4 years’ experience in employee benefit plan administration including understanding of health plan eligibility and COBRA administration
- Working knowledge of employee benefit plans and regulations and the ability to explain benefits and claims protocols to others.
- Taft-Hartley experience is a plus

SUMMARY

GENERAL DUTIES AND RESPONSIBILITIES - Including but not limited to:

- Review and have knowledge of all client vendors - including billing practices, services being performed for each Fund, frequency of presentations to the Board of Trustees
- Ability to assist Consultants and Attorneys in reviewing drafts and coordinate all employer and participant mailings, to notify of rate changes, benefits changes, Summary Material Modifications, Summary Annual Report, etc.
- Interpretation and applications of provisions of Plan/Trust Documents with Amendments, Summary Plan Descriptions and/or the ability to research within these documents to respond to inquiries.
- Respond to departments regarding Plan benefits, contributions, eligibility, Plan provisions, or ability to research inquiries before forwarding to legal counsel for interpretation.
- Handle problematic calls or situations, including complaints against Supervisors or Managers and requests from Trustees.
- Represent Trust Funds in general audits by the Internal Revenue Services and Department of Labor.
- Analyze, document and assist with system problems and modification. Provide specific direction to Programming regarding benefit changes.
- Oversee the daily operations of the Funds.
- Report regularly to the Board of Trustees of the Funds. Present to the Trustees all matters regarding the Funds: applications for ratification, appeals, applications for approval, eligibility issues, etc.
